Terms of service
These terms explain how you can use WhatQuotesBest, what our plans include, and your payment and cancellation rights. Please read them before purchasing a paid plan.
1. Who we are
WhatQuotesBest is operated as a UK sole trader.
Business address: United Kingdom.
For support, billing questions, complaints or cancellation requests, email whatquotesbest@outlook.com.
“We”, “us” and “our” mean WhatQuotesBest. “You” means the person or organisation using the service.
If you purchase on behalf of an organisation, you must have authority to enter into the contract for that organisation.
2. What the service does
WhatQuotesBest helps you understand and compare supplier quotations.
Depending on your plan, the service provides quotation summaries, a side-by-side comparison, references to source information, questions to ask suppliers and downloadable PDF reports.
The service organises information from the documents you upload. It does not inspect the proposed work, verify suppliers’ statements, certify suppliers, arrange supplier contracts or select a winning supplier.
Public examples and sample reports use fictional information. They demonstrate how the service works and are not market-price estimates.
Your agreement with a supplier is separate from your agreement with WhatQuotesBest.
3. Understanding the results
Document extraction and optical character recognition can misread, omit or misclassify information. Results may be incomplete, particularly where documents contain poor-quality scans, complex layouts or unclear wording.
Check important information against the complete original quotation and confirm it with the supplier before making a decision.
An item described as “not stated” means the service has not identified it in the relevant source information. It does not prove that the supplier excludes that item.
Different quotations may cover different work, specifications, quantities, dates or tax treatment. A side-by-side presentation does not make them equivalent.
Reports are information tools. They are not legal, financial, surveying, engineering, construction or other professional advice, and we do not promise a particular saving or outcome.
These limitations do not remove our obligation to provide the service with reasonable care and skill or your other applicable statutory rights.
4. Your account and acceptable use
Keep your account credentials secure. Do not share passwords or verification codes. Contact us if you suspect unauthorised access.
- Provide accurate account and billing information.
- Upload only documents you are entitled to use and disclose for this purpose.
- Respect other people’s confidentiality, privacy and intellectual property rights.
- Use the service lawfully.
You must not upload malicious files, attempt to access another user’s information, interfere with the service, bypass access or usage limits, or use multiple accounts to evade the free-review limit.
Where appropriate, remove personal or confidential information that is unnecessary for the review before uploading.
5. The free review
Each registered account is eligible for one free single-quotation review.
The free review includes a summary and questions to ask about one quotation. It is not a comparison of multiple quotations.
No payment card is required. The free review does not automatically become a paid project or subscription.
You can upgrade the free review to a paid project without reuploading the original quotation. Its successful processing run counts towards that project’s processing allowance.
Public fictional examples and sample reports can be viewed without purchasing a plan.
6. Paid projects and usage limits
A project is a workspace for reviewing quotations relating to one proposed job or service.
Each paid project includes:
- Up to five quotation PDFs.
- Up to 30 pages and 30 MB per PDF.
- Summaries, a side-by-side comparison, source references and supplier questions.
- Downloadable PDF reports.
- Up to ten successful document-processing runs within a 30-day processing window.
A processing run means successfully processing one quotation document. Processing several documents uses one run for each successfully processed document. Reprocessing a document uses another run. A failed processing run does not count towards the successful-run allowance.
The processing window begins when the paid project is activated. The project interface shows its expiry and remaining allowance.
You can add or replace quotations within the five document slots while the processing window and processing allowance remain available.
Replacing or deleting a document does not restore a successful processing run already used. Deleting a subscription project does not restore the monthly project allowance used to activate it.
After the processing window ends, further processing under that allowance stops. Existing results remain viewable while they remain stored and accessible under our applicable retention arrangements.
The 30-day processing window is not a promise to delete information after 30 days or store it indefinitely. Please download reports you wish to keep.
7. Prices and payment
The one-off project price is £9.99.
The monthly subscription price is £19.99 per month and includes up to three newly activated projects per monthly billing period.
Prices are in pounds sterling. Before confirming payment, check the plan and total shown in Stripe Checkout. There are no automatic charges for extra projects beyond your selected plan.
Payments are processed through Stripe. A one-off purchase does not start a subscription. Paid access is provided after successful payment verification.
Before paying, check your selected plan and total. Contact us if you believe a payment or account allowance is incorrect.
8. Monthly subscriptions and renewal
The monthly subscription renews automatically each month until cancelled. It is a rolling monthly plan, without a three-, six- or twelve-month commitment.
Each successfully paid billing period provides an allowance of three new projects. Unused project allowances do not roll over.
Each activated project has its own 30-day processing window and document-processing allowance. A billing-period reset does not restart an existing project’s window.
If a renewal payment fails, new subscription project activations may be unavailable until payment is successfully confirmed. Contact us if the account information appears incorrect.
9. Cancelling future renewals
You can cancel future subscription renewals through the billing-management link in your account. If that route is unavailable, email whatquotesbest@outlook.com.
Cancellation normally takes effect at the end of the current paid billing period. You retain your remaining entitlement for that period, and already activated projects keep their existing processing windows.
Deleting a project does not cancel your subscription. To stop future renewals, use the billing-management route or contact us explicitly.
Cancelling future renewals is separate from requesting a refund or exercising a statutory cancellation right.
10. Cancellation rights and refunds
You can cancel your initial one-off purchase or initial monthly subscription within 14 days after the contract is made and receive a full refund, including where document processing has started.
To cancel, email whatquotesbest@outlook.com with a clear statement of your decision. Include your account email and purchase reference if available. You do not have to use a particular form or give a reason.
This initial-purchase refund policy does not create a new voluntary 14-day refund period after every monthly renewal. Any statutory cancellation or refund rights that apply to a renewal remain unaffected.
After the initial 14 days, contact us if you believe the service was faulty, not as described, unavailable or incorrectly charged. We will assess the request under your applicable legal rights and the circumstances.
Where a refund is due, we will make it without undue delay and within any applicable statutory deadline, normally using the original payment method without a refund fee.
A refunded purchase’s associated paid entitlement will end. We will explain what this means for your affected projects.
We do not treat payment, uploading a document or starting processing as automatically removing your consumer cancellation rights.
Nothing in these terms limits your statutory rights. Depending on the circumstances, those rights may include correction, repeat performance, a price reduction, a refund or other remedies.
11. Your documents, reports and privacy
You retain your rights in the quotations and other material you upload. Uploading a document does not transfer its ownership to us.
You give us a limited permission to store, reproduce and process uploaded material as necessary to provide, secure and support the service, subject to our Privacy Notice and applicable law.
You can download and use your reports for your project and share them with people helping you assess the quotations, provided you respect rights and confidentiality in the underlying documents.
Our Privacy Notice explains how personal information is handled, including retention and privacy requests.
You can use the available account export and deletion controls. Export anything you need before requesting permanent deletion.
Deleting a project or account may make its documents and reports unavailable. Payment records and other records may need to be retained separately where required by law. Deletion of an account or project does not itself create a refund entitlement.
If you have an active subscription, cancel future renewals before deleting your account or contact us for help. Do not rely on deleting an individual project to stop payments.
12. Intellectual property
The WhatQuotesBest software, branding, design and original website content belong to us or their respective rights holders.
These terms permit you to use the service and your reports. They do not transfer ownership of the software or branding.
You must not copy or distribute the software or falsely present yourself as associated with WhatQuotesBest.
This section does not restrict your ownership of uploaded documents or rights that the law gives you.
13. Availability and account restrictions
We aim to keep the service available, but maintenance, technical problems and third-party outages can interrupt access. We do not promise uninterrupted availability.
If a problem prevents you from using a paid entitlement, contact us so we can investigate and provide an appropriate remedy where required.
We may restrict access where reasonably necessary to address unlawful use, serious misuse or a security risk. Where practicable, we will explain the reason and give you an opportunity to resolve the issue. Urgent restrictions may be necessary to protect users or the service.
If we discontinue a paid feature or the service, we will give reasonable notice where practicable and address unused paid entitlements fairly, including refunds where appropriate or required by law.
14. Responsibility and liability
We are responsible for providing the service in accordance with these terms and applicable law.
You remain responsible for checking quotations, obtaining suitable professional advice where needed and deciding whether to engage a supplier. We are not a party to your supplier contract.
If you are a consumer, we are responsible for loss or damage that is a foreseeable result of our breach of contract or failure to use reasonable care and skill.
Nothing in these terms excludes or limits liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any other liability that cannot lawfully be excluded or limited.
Nothing in these terms removes mandatory consumer protections. No blanket “as is” exclusion, liability cap or indemnity applies.
15. Changes to prices and terms
Changes to these terms will have a stated effective date.
We will give reasonable advance notice of material changes affecting an ongoing paid subscription, including a price change, so you can decide whether to cancel before the change takes effect.
A new price will not retrospectively change the price of an already purchased one-off project.
Changes will not retrospectively remove rights or paid entitlements already acquired. Where your agreement to a change is required, we will obtain it.
16. Complaints, governing law and contact
Email complaints to whatquotesbest@outlook.com. Include your account email, relevant project or payment reference, and the outcome you are seeking.
We will investigate and explain our response. We do not currently promise a fixed response time.
These terms are governed by the law of England and Wales. If you are a consumer, this choice does not remove mandatory protections or court rights that apply where you live.
For questions about these terms, support, cancellation or refunds, contact whatquotesbest@outlook.com.
